Terms and Conditions

The following information sets out the Terms and Conditions by which The Playing Space agrees to provide our holiday drama club service to you and your child.

TPS-HDC means The Playing Space – Holiday Drama Clubs.

Participant means the child who is attending or who is booked onto TPS-HDC.

Parent means the parent or legal guardian of the Participant who shall be responsible for the payment of the fees and who shall be responsible for the Carer’s compliance with these Terms and Conditions (if the Carer is not a Parent).

Carer means the person who drops off an picks up the Participant at TPS-HDC.

Premises means the premises on which TPS-HDC takes place.

When you book any TPS-HDC you are signifying your agreement to these Terms and Conditions. Please familiarise yourself with them before making your booking.

We reserve the right to modify, cancel or change our Terms and Conditions. Our full terms and conditions always appear on our website.

TPS-HDC are for children aged 3 to 18 years old, and all bookings are subject to availability.

Fees, Payments and Discounts

Fees will be provided on screen and by email when you make a booking. Payment can be made by electronic bank transfer or childcare vouchers. When we receive your booking we will send an email containing full instructions for payment.

Certain discounts apply to a number of our products. These discounts are clearly marked on our website and will be provided in writing when booking. Discounts are given at the company’s discretion.

Cancellation

All payments are non-refundable, except those given on the basis of medical reasons, which are given entirely at the discretion of The Playing Space. Please note, any places booked or reserved, but not paid for in full can be revoked.

Bookings for all classes are non-transferable. A registered and booked Participant’s place in TPS-HDC cannot be offered to another child without our written permission.

TPS-HDC Staff and Child Protection

Workshop leaders have enhanced DBS clearance for working with children and young people.

All staff have the appropriate professional training in their respective field and are given regular training on The Playing Space teaching method.

All Participants are covered under the terms of our Public Liability Insurance.

If a member of staff has any concerns about a Participant’s personal safety, the school’s current Child Protection policy will be followed. For a copy of our Child Protection Policy, or of our Insurance Documents, please email The Playing Space.

Privacy policy

We aim to offer a transparent view as to how we use and store personal data in line with the EU’s 2018 General Data Protection Regulation (GDPR).

You may at any time request the personal information that we hold, you may also request for your personal details to be deleted from our database (although in this case we will need to un-enrol your children from any classes that they are attending).

We promise to keep your data safe. We do not pass on or sell any data we collect on these websites to any other businesses or persons. The only people who have access to your data are the teachers who work with your children and the office staff who need to contact you about their classes and care.

It is very important that the information we hold about you is accurate and up to date. Please let us know if at any time your personal information changes by emailing us.

Confidentiality

By agreeing to these Terms and Conditions, the Parent/Carer agrees not to share any aspects of TPS-HDC programme with a third party who may be involved in a business that operates in the same market as TPS-HDC.

The Parent/Carer will not take, replicate or use any TPS-HDC material directly or indirectly for his/her own use or for use by any third party.

Marketing

Photographs and video footage taken at workshops can be used for marketing purposes on the official company website and across all other forms of multi media. If you do not want photographs or videos of the Participant to be used for marketing purposes, please inform us in writing.

Parent/Carer Obligation

The Parent warrants that the information provided on the Booking Form is accurate and up to date in all respects at the point of booking. Any changes will be sent by the Parent/Carer to TPS-HDC immediately.

It is the Parent/Carer’s responsibility to inform TPS-HDC of any special medical conditions at the point of booking. This includes behavioural disorders.

The Participant and/or Parent/Carer must not attend any TPS-HDC whilst suffering from any contagious disease or anything similar thereto.

The Parent/Carer must inform us by email/in writing of ALL adults who are authorized to collect a Participant. We will not release a Participant to a Parent/Carer who is not named on the Participant’s registration form without your permission in writing.

Please provide us with a minimum of two phone numbers by which we can reach the Parent/Carer of the Participant. Please ensure that at least one of these is reachable at all times the Participant is in our care, in case of emergency.

Immediately before and after all sessions the Parent/Carer agrees and accepts the sole responsibility, general conduct and care for the Participant whilst on the Premises.

TPS-HDC requires Parents/Carers to leave the premises whilst Participants attend our class (with exception for serious medical conditions) and to collect them on time at the end of the class. A settling-in period of 15 minutes is allowed for all of our younger and newer Particpiants.

Arriving Late: If a Parent/Carer arrives more than 15 minutes late to pick up a Participant after a class, a charge will be incurred for the teacher’s extra waiting time.

TPS-HDC shall have the sole right to exclude the Participant and/or Parent/Carer either permanently or for such a period as TPS-HDC shall (in its entire discretion) determine if deemed necessary for the safety and well-being of other Participants or Parents/Carers.

Participants not adequately toilet trained are not accepted in any of our classes.

Complaints

If you have cause to complain about our service please address your concerns to the member of staff most closely concerned with the issue. Feel free to contact them by phone, letter, email or in person stating as clearly as possible what is troubling you.

If another Participant is involved, please do not approach him/her or his/her Parents/Carers directly with your concerns, but allow us to mediate.

If you feel you have not had a satisfactory outcome, please contact The Playing Space. We will follow up the points raised and give you an update on any action taken within 10 working days. If you are not satisfied with the following, please put your complaint in writing to the Complaints Co-Ordinator and post it to The Playing Space, 5 Bridge Road, London N22 7SN.
